In line with the new GDPR Data Protection Regulations, details of how we collect and process personal data can be found below.
 This is the Privacy Policy of Preserva CSS Limited (registered office 15a Handyside Street, Derby DE1 3BY), reviewed on 24th May 2018. Below we describe how and why we collect and use your personal data, who has access to it and what your rights are.

As the ‘controller’ of the personal data you provide we take your privacy seriously. Please read this Privacy Notice carefully and be aware that it may change from time to time.

1/. WHICH PERSONAL DATA WE COLLECT AND WHY

Personal data is any information which identifies you personally whether directly (or indirectly, such as your name, address, telephone number, email address or the ip address of your computer.

The types of personal we may collect are as follows:-
When you make an enquiry via telephone, email, our website or in person:
•    Contact details such as your name, address and telephone number, provided by you or that is recorded
•    Personal data gathered using cookies when visiting our website. More information regarding cookies can be found below in section 3 of this notice.
•    Details of your visits to our website including but not limited to traffic data, location data, weblogs and other communication data

 In relation to the services we provide:
•    Contact details that you provide in the course of instructing us to carry out works or services, such as your name, address, telephone number and email details
•    Personal data that your employer provides about you in the course of instructing us to carry out the services requested, such as your name and contact details as a representative of the business;
•    Personal data, such as your name and financial position, from credit reference agencies
•    Personal data from tracing agents in the event you fail to pay any invoice by the due date and we are unable to locate you using the contact details you have provided
•    Personal data in the form of images or video footage that is taken at one of our locations or at your location if required for us to effectively carry out or assess the services you have requested from us;
•    Personal data you provide if you complete customer care surveys or submit reviews to us
To develop or promote our services:
•    Personal data obtained directly from you, such as your name and contact details and preferences relating to particular services and/or products;
•    Personal data, such as contact details, your interests and preferences and professional activity obtained from public or social media sources, such as LinkedIn, Facebook and Twitter
•    Personal data you provide such as your name and email address if you enter into a competition or prize draw
•    Details of your visits to our website including but not limited to traffic data, location data, weblogs and other communication data

Complaints:
If you contact us to make a complaint about our services, then we may make a written record of key details of the conversation so that we can take steps to address the complaint.

We do not conduct any direct marketing or pass your details on to third parties for marketing purposes.

In certain circumstances, personal data can be processed after obtaining your consent to do so, however this is usually for sending marketing communication, sharing contact details with trusted third parties for marketing purposes, market research etc. Preserva CSS do not carry out any such marketing communication or market research and so this does not apply.
However, we may on occasion request consent to conduct credit checks or utilise testimonials provided by you on our website or promotional material.

Necessary for the performance of a contract and to comply with our legal obligations
It is necessary for us to process your basic contact details, payment details and information about the business you represent in order to provide you with the products and services you have requested from us, let you know about major changes to those products and services and provide any applicable warranties.
If you choose not to give some or all of the aforementioned information to us, this may affect our ability to provide our products and services to you.
In certain circumstances, we also use your personal data only to the extent required in order to enable us to comply with our legal obligations, including to detect, investigate and prevent fraud.

Necessary for the purposes of our legitimate business interests or those of a third party

We will not knowingly pass your details to third parties outside of the EU and will have contracts in place with our data processors to ensure that your personal data is processed and held only for the purposes and timescales necessary.

6/. HOW LONG WE KEEP YOUR PERSONAL DATA FOR
We retain your personal data for no longer than is necessary for the purposes(s) for which it was provided, meaning in practice this will vary between different types of data. When determining the relevant retention periods, we take into account factors including:

•    potential or actual disputes or warranty claims
•    guidelines issued by relevant data protection authorities.
Otherwise, we securely remove your personal data from our systems when it is no longer needed.
